L&I Administrative Assistant 3

Responsibilities

  • Monitors the Program Manager’s email inbox, calendar, schedules meetings, secures rooms, drafts meeting agendas, takes meeting minutes and distributes to attendees after meetings conclude.
  • In collaboration with program supervisors, submits requests into Security & Technology Access Request Service (STARS) for new employees or staff who are transferring in/out of the program area and coordinates onboarding and offboarding processes for all program staff.
  • Supports the Program Manager on all purchase requests from program staff to ensure they have the tools and resources to carry out the functions of their job.
  • Manages inventory for the Prevailing Wage Program by tracking assigned equipment (i.e. laptops, monitors, keyboards, cell phones, ergo equipment, projectors, cameras, or other electronics), software licenses and subscriptions, including the Information Technology Service Manager (ITSM) submittals for program staff as needed.
  • Reviews, destroys, or archives existing records based on retention schedules.
  • Screens, prioritizes, distributes and manages all physical mail for the program.
  • Supports Public Disclosure and Direct Reply processes and facilitates needs/requests for data from internal and external sources as appropriate.
  • Manages permissions/accesses for confidential, electronic records (recruitments, etc.)
  • Provides direction and instruction under delegated authority of the Prevailing Wage Program Manager.
  • Prepares and organizes committee meetings and coordinates travel arrangements

Requirements

  • High school graduation or GED.
  • Three years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work.
  • OR An Associate’s degree in business administration, public administration or general administrative work
  • AND One year of experience as an Administrative Assistant 2 OR two years as an Administrative Assistant 1.
